Qualtrics - Frequently Asked Questions

 
 
Who is eligible to access Qualtrics?

This software is licensed by the University of Pennsylvania and is restricted to Institutional use only by Penn faculty, staff and students, as well as faculty and staff of Penn Medicine, for Penn-related academic or administrative use or Penn-related academic research on a Penn-owned computer.

The Qualtrics Research Core may be used for Penn-related academic purposes, administrative purposes, and academic research. Any other use, particularly commercial use, is strictly prohibited.

This product is licensed at the School/Center level. Only those individuals from participating Schools/Centers will have the complete version of Qualtrics available to them. Faculty, Staff and Students who create personal user accounts not associated with these School/Center accounts are limited to a reduced version of the application that does not offer full functionality of sharing and collaborating.
 
Note: Qualtrics is currently not FERPA or HIPAA compliant.
 

How do I purchase Qualtrics for my School or Center?

OSL has developed a new Kivuto Licensing Portal that allows for orders to be placed for this and most other software titles, allowing payment via BEN budget code. Please visit the How to Order page for directions.
 

How is my School or Center added to Qualtrics after my purchase? 

If this is a new Qualtrics order, the Office of Software Licensing (OSL) will create a Division in Qualtrics for your organization, and as your users log into Qualtrics for the first time, they should be assigned automatically to your division. If they are not assigned to your division, please contact OSL at This email address is being protected from spambots. You need JavaScript enabled to view it., and we will correct the issue.
 

How do I start using Qualtrics? 

Purchase of Qualtrics Research Core by a School or Center entitles all of their faculty, staff, and students to use the full-featured research core.  A list of participating Schools and Centers can be found on the Office of Software Licensing web site.  

If your School or Center is not on the list you may still use Qualtrics by registering as an individual user at the Qualtrics website using your PennKey, but you will not have access to the all of the functionality provided by the enterprise license. 

Users go to http://upenn.qualtrics.com and log in with their PennKey to access the Qualtrics site and create an account. Only those individuals from participating Schools/Centers will have the complete version of Qualtrics available to them. All others are limited to a demo version of the application.


How do I access my surveys offline? 

The University of Pennsylvania's license includes access to the Qualtrics Offline App. Qualtrics has support articles for Setting Up the Offline App and Collecting Offline App Responses.
 

How do I obtain Qualtrics Support?

Visit the Qualtrics Support Center to find answers in the Qualtrics Community, access training and knowledge base articles, and contact support.
 
When accessing contacting support, users will be directed to a login page. Penn uses single sign on, so click the link for "Sign in with SSO" below the forgot password link. When you reach the SSO page, enter "upenn" as the Organization ID, then log in with your PennKey. After logging in, the support process will remain unchanged. Please note, however, that the Qualtrics Support team will only be able to provide support assistance for the account that the user used to authenticate into the Support Center to submit a ticket.
