Planning Tools Overview:

Planning a successful event requires organization, coordination and documentation. The following information may assist you as you begin planning your conference, meeting or event.

Set a date. It is important to outline the various dates in which you plan to host your conference. Before scheduling an event, we suggest you check the calendar to avoid conflicts with major holidays, and University-wide events. Refer to the University of Pennsylvania calendar as a resource.

Once you've selected a date, use our Ultimate Planning Timetable to help determine the appropriate timeline for your conference.

Secure the venue. Due to high demands for University venues, reservations should be made in advance, particularly for large conferences. Before selecting your venue, please consider the attendance capacity, audiovisual needs and catering needs.

Once we have secured your conference dates and University venues, our team can assist with budget development.
